2. Personal data we collect

Depending on your dealings with us, we collect and use:

  • Business and contact details: names, business names, business contact details, billing and delivery addresses, and information supplied in applications or enquiries.

  • Account and order details: account records, products purchased, order history, invoices, delivery instructions, returns, claims and customer-service correspondence.

  • Payment information: payment status and transaction details needed to reconcile orders. Payment service providers may collect additional payment details when you pay.

  • Communications: information provided by email, phone, website forms or business messaging services.

  • Reviews and testimonials: feedback and customer messages, including names, business names or profile images appearing in material we receive or have permission to publish.

  • Website and technical information: such as device and browser information, IP addresses, website usage and cookie information, to the extent collected by the features and technologies in use on our websites.

We need certain information to assess account applications, process orders, arrange delivery, comply with legal requirements and respond to enquiries. If you do not provide necessary details, we may not be able to provide the relevant service.

3. How we obtain personal data

We collect data directly from you when you contact us, register, order or communicate with us. We also receive relevant information from payment, delivery and other providers supporting your orders. For B2B sales and relationship management, we may receive business contact information from a business you represent, referrals or publicly available business sources, such as company websites and business directories.

Our websites may collect limited technical information through their operating systems and any cookies or similar technologies that are in use.

4. Why we use personal data and our lawful bases

We use personal data for the following purposes under UK data protection law:

Where we rely on legitimate interests, those interests include supplying products to trade customers, maintaining business relationships, helping customers with orders and protecting our services. We consider the impact on the individuals concerned and their rights.

5. Business-to-business marketing

Our marketing is aimed at business customers and business contacts, rather than consumers buying for personal use. We may contact trade customers and prospective business customers with information relevant to our wholesale fresh and dry goods, including availability, new products, order opportunities and special offers, through business email, phone or messaging channels where permitted by law.

The rules differ by contact type and channel. For example, marketing electronic messages to corporate businesses are treated differently under UK electronic marketing rules from messages to sole traders and certain partnerships. Where consent is required, we will obtain it or use an applicable legal exception. We do not use the fact that a contact is a business customer as a reason to ignore their data protection rights.

You can object to or opt out of direct marketing at any time. Please use the unsubscribe or opt-out method in the message, where provided, or email account@healthythaifoods.com. We will respect requests to stop marketing. This will not prevent necessary communications about your account, orders, payments or deliveries.

6. Cookies and similar technologies

Our websites use technologies needed for website functions and may use other technologies to remember preferences, understand website usage or support marketing, depending on the services enabled on each website.

Where the law requires consent, we will ask for it before using the relevant non-essential technologies. Some limited uses may be permitted without consent under applicable legal exceptions. You can adjust choices through available website cookie controls and your browser settings. Disabling some technologies may affect website functionality.

7. Sharing personal data and publishing customer reviews

We share personal data when necessary with relevant providers, such as:

  • Website and e-commerce providers, including Wix;

  • Payment providers and banks involved in transactions;

  • Warehousing, delivery and courier providers who fulfil or deliver orders;

  • Business systems and IT support providers who help us operate our services;

  • Accountants, professional advisers and authorities when needed or legally required.

We share only the information appropriate to the relevant purpose and apply safeguards as required.

Customer reviews, testimonials and screenshots

We sometimes share customer feedback or testimonials on our websites, social media pages and other business marketing materials. This may include screenshots of feedback or messages, which can show a name, business name, profile image or other details identifying a person.

We consider the privacy of the people featured and seek permission before publishing identifiable screenshots from private customer communications. Where appropriate, we remove or obscure identifying details. A customer sending us feedback does not, by itself, mean that we have permission to publish their private communications or personal information.

If you appear in content we have published and wish to raise a concern or request its removal, contact account@healthythaifoods.com. We will consider your request under applicable law and address content on channels under our control as appropriate.

8. Transfers outside the United Kingdom

Some providers supporting our websites, communications or business systems may store or access personal data outside the United Kingdom. Where an international transfer is restricted by UK data protection law, we rely on an applicable legal transfer mechanism and appropriate protections. You may contact us for information about the safeguards relevant to your data.

9. How long we keep personal data

We retain personal data only as long as needed for the relevant purpose, taking account of legal obligations and the need to deal with enquiries, claims and disputes.

  • Business account and contact information: while needed to manage a customer or prospective customer relationship, followed by a review of whether it remains necessary.

  • Orders, invoices and payment records: for the periods needed to meet applicable tax, accounting and recordkeeping duties and handle claims.

  • Customer-service messages and claims: while needed to deal with the request, any follow-up and relevant legal or business requirements.

  • Marketing preferences and opt-outs: for as long as needed to manage marketing choices and respect requests not to receive messages.

  • Reviews and testimonials: while the material remains relevant for its intended use, subject to periodic review and appropriate removal requests.

  • Technical records and cookies: according to their purpose and the retention settings of the relevant systems.

When information is no longer required, we delete it or anonymise it, unless we are entitled or required to retain it longer.

10. Protecting personal data

We take reasonable technical and organisational measures to protect personal data from unauthorised access, misuse, loss and disclosure. We limit access to staff and service providers who need it for their responsibilities. No online service or storage method is completely risk-free.

11. Your data protection rights

Depending on the circumstances, UK data protection law may give you the right to access your personal data, have inaccuracies corrected, request erasure or restricted use, object to certain processing, receive certain data in a portable format, and withdraw consent where we rely on it.

You have the right to object to processing of your personal data for direct marketing at any time.

To make a request, contact account@healthythaifoods.com. We may ask for information to verify your identity. We will respond within the applicable legal timeframe, subject to any permitted exceptions.

You can also complain to the Information Commissioner's Office (ICO): https://ico.org.uk/make-a-complaint/.

12. Our TikTok posting tool

Our authorised staff may use an internal tool to publish content to Healthy Thai Foods' own TikTok account. The tool is used for our business social media activity and is not a customer-facing service. It may handle the account information and authorisation details needed for that connection. Any identifiable customer testimonials or screenshots used in our social media content are handled as described in Section 7.

13. Children

Our websites and wholesale services are intended for business customers and are not directed at children. If you believe a child has provided us with personal data, contact us so we can review the concern.

14. Other websites and services

Our websites may link to third-party services that have their own privacy notices. We encourage you to review those notices when you use the services.

15. Changes to this Policy

We may update this Policy to reflect changes to our business, websites or legal requirements. We will update the date at the top when the Policy changes and provide additional notice when required by law.
